Organizing office procedures and day-to-day operations
Managing contract and price negotiations with office vendors, service providers and office lease
Liaising with facility management vendors, including maintenance, cleaning, catering and security services
Ordering supplies and services, ensuring timely invoicing and payment
Managing office G&A budget, ensuring accurate and timely reporting
Assisting the IT department with the reception, delivery and maintenance of office equipment
Assisting with the onboarding of new hires
Addressing employees' queries regarding office management issues (e.g. stationery, hardware, travel arrangements, office spaces availability, and others)
Providing general support to visitors
Planning in-house or off-site activities such as celebrations and business conferences
Helping to improve company procedures and day to day operations
Partnering with the HR department to maintain and update office policies as required
Employee requirements
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an improvement mindset, striving for enhancing efficiency
Experience as an Office manager, Front office manager or Administrative assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel, MS Outlook in particular), familiarity with email scheduling tools (Email Scheduler, Boomerang)
